FAQ's

What is The GOYA Life?

The GOYA Life is a Collection of Apps. They are “Human Development” SaaS (Software as a Service) Apps.

Featuring:

GOYA Connect – for community organisations, business use, team management, life coaches etc.

GOYA Learn – for use in Education

GOYA Men – for Men’s Groups

GOYA Sport – for Sporting Organisations from Beginner to Elite. It’s NOT Sports Science – It’s Human Development software.

Accessible directly from the internet through a standard browser and also as a mobile App via the iOS Apple Store and Google Play Stores.

A suite of tools and solutions such as Goal setting, planning, calendar management, wellbeing, communication options and private journaling are just a few of the tools at your fingertips.

Can parents access their child’s account if they want?

Sure! Just ask your child for their login credentials.

Who can see my information?

It’s your choice.

If you’re an athlete, student or team member and you have a mentor, coach or team leader – you have the choice as to whether or not your goals, tasks and other items are visible.

Private is Private.

Who can see the messages?

The only person who can see your message thread is the person you’re in that message thread with.

If a Mentor or Org sends out a group message, replies are only visible to the sender of the message – this is NOT a group chat.

Who can see my journal?

Your journal is for you and you alone.

However, should you choose to export your journal and convert it into a series of articles, a book, or whatever you want it to be, you have the

Option to Export it for your personal use or email a specific journal entry or whole journal to a connection.

How is this a “Bully Free Zone?”

We wanted this to be a completely “safe” zone for athletes, students and team members.

In order for us to achieve this – we put in 3 simple rules.

  1.   This level of user cannot connect to other users on this level
  2.   This level of user cannot communicate to other users on this level
  3.   If a Coach or Org sends a message to a team or group, responses to that message can only be seen by the sender of the message and not the rest of the group.

SECURITY!

How is the information protected?

We take security very seriously which is why we are hosting our software with Amazon Web Services. Super secure, robust and world class encryption.

What are the backup systems for the information?

Information is backed up every hour, 24 hours a day, 7 days a week.

Encrypted Messaging back up service to protect every user.

We’ve built in an encrypted backup messaging protocol for every message, image and video that is sent across the software. Every detail and every edited adjustment to any message is instantly backed up, encrypted and stored, so if needed, can be retrieved and reviewed by authorities.

Are there restrictions on who can become a member?

There are several ways to become a member with GOYA.

You’re a member of an Organisation that signs up – either as an athlete/student/team member or team leader/mentor/coach.

Or you can contact us to discuss how you can get involved in GOYA.

In Goal Setting – What’s The Difference Between an Outcome, Process or Performance Goal?

Outcome Goals – This is a specific outcome (which can be performing better than others or selection to a team/event)

Process Goals – these are processes based goals which the individual has control over and allows the individual to improve

Performance Goals – targeted at achieving a benchmark/ standard. This can be used to measure results of a process goals

FORGOT MY PASSWORD

If you ever forget your password, go to Login,  hit the “Forgot Your Password” button, you’ll be asked for your email address, press “Send Link”.

Please check your email – in this email you’ll be asked to click on the “Click here to reset the password”

Please click on this.

Enter your new password, confirm your password, press on the “Reset Password” button.

HOW TO LOGIN IN LOG OUT

Whenever you want to login to GOYA Sport you can click on the Login button.

Please enter your email address and password

Press the Sign In Button.

To Log Out please click on the “wheel” icon and press logout.

* It is very important to log out if you are using GOYA on a shared device.

HOW TO SET UP YOUR GOYA PROFILE

Your first activity after your registration is to complete your profile.

To reach your profile page, click on the wheel, then click on profile.

Please click on Edit and start typing in as much or as little information you’d like to populate in your profile!

It’s completely up to you – it’s YOUR profile.

Let’s start with an image – this can be of you, your favourite athlete, whatever you like.

Your date of birth is optional.

Choose your preferred time format. 12 or 24 hour clock.

Your location is your city, state and country – or just your country – your choice.

Are you a specialist in any area?

After each entry, please add in a comma.

Do you hold a specific position or perform at a specific position?

Once you’ve entered all you like, or you want to come back at another time to complete it, please click on the “Save” button.

You’ll notice some other buttons on the screen.

Let me explain those for you.

EXPORT DATA

If you ever leave your current organisation, you graduate, you take another opportunity, for whatever reason, you can take your profile with you and ONLY the data that you’ve specifically entered into your profile.

For example – you’re an athlete or coach at Club A – this club has coached, guided or shared specific information with you that they’ve developed over many years.

If they’ve asked you to complete something to help you develop on your journey, they don’t want you taking this information with you.

So, the simplest way to explain “who own’s what” is this.

If you entered the information, you own it.

If the Coach or Organisation entered it, they own it.

When you click on the “Export” button – this will export your information out to an XL file that is ready to be imported into your next user profile for GOYA.

IMPORT DATA

When you join a new Organisation, or you simply set up your own private profile and manage the license yourself, you click on the import button and choose the Exported XL file that you wish to import.

Press IMPORT.

HOW TO SET UP CONNECTIONS

Connections make the world go round and we’ve made the assumption that you’re only going to connect with people that you know.

Which means you’ll know their first name, last name and email address.

There are 3 levels of users in GOYA.

Organisation

Coach/Mentor/Team Leader

Athlete/Student/Team Member

Every user has the option to accept or deny any connection request.

Please note – users on the lower levels cannot look “up” at their connections info.

Athletes cannot look “up” to any coaches info.

Coaches cannot look “up” to any Organisation data.

And there are several allowances we’ve made for connections.

Example: HOW TO SET UP CONNECTIONS FOR ATHLETES

We’ve built in a restriction that athletes cannot connect with other athletes.

We wanted to make this a bully free zone and we think that they can connect in many other places – this doesn’t need to be one of them!

Athlete Connection Examples could be….

You’re an athlete with multiple coaches, sport head coach, assistant coach(es) strength coach, dietician, or coach in another sport altogether – you can connect with all of them. (we’ll talk about what they can and can’t see in another section.)

You are welcome to connect with up levels as much as you like.

Athletes are also connected to their main organisation.

Example: HOW TO SET UP CONNECTIONS FOR COACHES

You can connect sideways to other coaches, down to athletes and up to your organisation.

An example sideways connection would be to your assistant coach, fellow coaches and/or team manager.

You can also set roles for these connections if they’re within your organisation.

For example – you might want to give your assistant coach full access to your athletes data to review.

For your team manager, this could be a parent and you probably don’t want to give them viewing access to the whole team. You can set your team managers access to “messaging only” – this will allow them to communicate with the team members, but not see any of their data.

You can set your athletes into groups if they’re not already allocated into one from the Org level.

There’s no restriction on the amount of other users you connect to.

Example: HOW TO SET UP CONNECTIONS FOR ORGANISATIONS

As an organisation you can connect “sideways” to others within your organisation and you can set viewing parameters.

For example – several of your team within the office are granted full viewing rights to the lower level connections, and others are only granted “messaging only” rights.

You’ll be connected to all of your coaches and athletes.

You can set coaches, assistant coaches, team managers and athletes into specific groups/teams.

We’ve created a special XL sheet for you to complete for your organisation.

You can enter different teams or groups, add in the coaches, assistant coaches and team managers, and of course, the athletes.

You can set up different groups such as high performance, males only, females only, and a single group featuring every member of your organisation, so you can send group messages, event invitations and the like.

Once you’ve set up the groups and organisation as you like, GOYA will set up all the information for you.

Example: HOW TO MAKE A CONNECTION

Please go to your connections tab and click on it.

Click on + NEW CONNECTION.

Fill in the first name, last name, click on the User Level, Coach, Athlete, Org and enter their email address.

Press SEND.

One of Two things is going to happen at this point.

  1. If they’re a current user/member of GOYA, they’ll receive a message and see a notification in their Connections section that someone wants to connect with them.
  2. If they’re NOT a current user/member of GOYA,

Your invited connection is going to receive an email with an invitation to connect.

Within this email there will be 2 options for them to choose from.

  • If they’re already a user on GOYA Sport, they can login to their profile and accept or deny your connection request.
  • If they’re NOT already a user, they can go through the sign up process and once they complete this process, your invitation to connect with them will be waiting in their connections section. They’ll have the option to accept or deny this connection request.

If you ever want to disconnect from another user, you can achieve this by going to your connections, find the user you’d like to disconnect from, click on the red X and confirm that you want to disconnect. This process is immediate.

Please note – that lower levels cannot look “up” to the next level connections information.

Example – an Athlete cannot look “up” to a coach or an organisation.

A coach cannot look “up” to an Organisation.

A visual of the levels would look like this.

On top is the Organisation

Mid Level are the coaches

Lowest level are the Athletes.

Lower levels can send messages UP.

Lower levels cannot see any upper level information.

Upper levels can look “down” at their connections. (provided the lower level connections have “shared” their relevant information.

Upper levels can send messages to all connections.

Upper levels can access lower level calendars (provided permission has been granted to do so.) so they can monitor loads etc.

(We’ve built in some privacy functions into your calendar – we’ll address these in the calendar section.)

Example: Organisations can…

  • Set up groups or teams of coaches and athletes
  • Can view each athlete and who coaches them
  • Can view each coach and view who they’re mentoring
  • View all connections goals and tasks
  • Allocate athlete licenses for distribution
  • View the overall wellbeing score results for the whole organisation.
  • View the wellbeing scores for each group/team and each coach and athlete.
  • Communicate with individuals, groups or full member base (replies are private and can only be seen by the sender – more on this in messages)
  • Monitor license status of all users connected to the org

Example: Coaches can…

  • Set up groups or teams
  • View each athletes activity and loads under their guidance
  • View all lower level connections goals and tasks (provided sharing permissions have been granted.)
  • Allocate licenses to each athlete (which have been provided by the org.)
  • Communicate with individuals or groups (replies are private and can only be seen by the sender – more on this in messages)
  • Monitor license status of lower level users

Example: Athletes can…

  • Create their own private profile
  • Choose to share different sections of their profile for accountability and coaching purposes
  • Not connect with other athletes
  • Not communicate with other athletes
  • Set private goals, tasks, events in their systems
  • Rest assured that every keystroke of every message is instantly backed up and encrypted to protect all users.
  • Communicate freely, knowing that their communications are direct and private.

WELLBEING

GOYA WELLBEING SURVEYS

The GOYA wellbeing surveys have been created to give you lots of flexibility.

You can create 6 Private surveys and be involved with 6 Shared surveys if they’ve been set by your coach or organisation (Director of Coaching).

We want you to self assess yourself against 6 questions.

For one survey, we suggest that you choose 4 values you’d like to measure yourself against.

(These values can be decided upon in your “My Sport and Beyond Journey” course.)

Question 5 can be a reflection on how well you were prepared for your training, event or day.

Question 6 can be a reflection on the level of joy you had during your training, event or day.

You can only ever allocate 6 questions to each survey.

Each question gives you a choice of 5 faces to represent your thoughts against that statement. There’s also a space to make notes about your answer or thoughts on each question if you want to fill that out.

Once you’ve completed your 6 questions, you’ll receive a score out of 100% that represents your engagement or thoughts about each 6 question survey.

Every survey can be saved as a template so you can go back and revisit these questions whenever you like.

CALENDAR

YOUR GOYA CALENDAR

We want you to use your calendar as your electronic brain to remember all of your commitments and load management centre.

Put in all your trainings and events, your other commitments (homework – work) and time just for you to stop and relax.

Plus whatever else you need to be reminded of on specific dates.

Your calendar is broken up into 2 different sections.

Your Events

Your Tasks

When you start your GOYA journey, your calendar can only be seen by you.

You have the option to share your calendar with specific coaches and connections “above” you – at Coach and Org levels.

If you do want to share you calendar with specific connections, please click on the “Share Calendar” button and select the users you’d like to share your calendar with.

But just because you’ve shared your calendar, it doesn’t mean that these connections can see literally everything that you’re up to.

For every task, goal and calendar event, you have the option to make each of these completely private.

By keeping this marked as private, your connections will see that you have the time blocked out, but it isn’t visible as to why it is blocked it. It is simply shown as “Busy”.

HOW TO CREATE A NEW EVENT IN YOUR GOYA CALENDAR

Let’s go ahead and create a new event.

  • Please click on the “+ New Event” button
  • Name the event
  • Create a start date (Start Time is Optional)
  • Create an end date (End Time is Optional)
  • If you don’t mark specific time for the event, it will show up on the specified day at the top of the list. Other items with specified times will appear in time due order.
  • Mark if the event is to be private (if you select private – your connections will only see that the time is blocked out, not what the events details are.)
  • If you want your connections to be able to see this event, uncheck the private check box.
  • Please choose if the event is to be a recurring (repeating) event.
  • You’ll notice that the end date is defaulted to match the end end of the event date set. If you’d like to change this date, please do so.
  • Choose when you’d like to have this repeat. Daily, Weekly, Monthly, Yearly.
  • If daily, choose whether every day or only weekdays.
  • If weekly, please choose specific days of the week you’d like to repeat this event.
  • If monthly, you can choose a specific day in the month, or a specific day of each month – example – the 2nd Tuesday of each month.
  • If yearly is chosen, you can choose a specific date or a specific date in a month, example – the 4th Tuesday in September.
  • Please choose if you’d like to be reminded of these events prior to when they’re due.
  • Once you click on “reminder” you’ll be given the choice to be reminded at the following intervals prior to the event. 5 minutes, 30 minutes, 1 hour, 1 day.
  • Choose the reminder time.
  • Press the “Save” button.

FLOWER DAYS – FOR FEMALE ATHLETE USERS

This feature was built into the app following requests from coaches.

For our female users, when you set up your profile, you’ll be asked whether or not you’d like to show your “Flower Days” (Period Marker) each month.

As a default it is set to No to sharing.

If you click yes, you’ll then be presented with the following options.

  1. Choose a flower colour
  2. Choose those connections with whom you’d like advise that it is a flower day. Specific Coaches etc.
  3. Whenever you set an event in your calendar, there will be an option to just click a response to the question “Is this a flower day?” If you click yes. The following will happen. A small flower icon will be shown on the top of that specific date. You won’t have to write or include any other information. The default date will be the current date. If you do need to adjust the date, this is easily possible by clicking on the date shown and changing it to your choice.
  4. This is treated as a single event and if you want to show multiple days as flower days, you will need to repeat this process each day – or, simply show the first and last flower days. It’s up to you and your coach(es)
